A dance school families rely on

Dance in Motion Academy is a long-established dance school in Malvern, teaching over 450 students across more than 110 weekly classes.

For many families, it’s a consistent part of the week. A place where children can build confidence, develop skills, and feel part of something familiar.

That sense of consistency has always been central to how the academy runs.

When records start to feel out of sync

Behind the scenes, though, things weren’t always as joined up.

Information lived in separate places. Registers didn’t always match payments, and messages often had to be sent more than once just to be sure they’d landed. Different systems were being used to manage various parts of the academy, which made it harder to keep everything aligned.

Nothing major, but it wasn’t always clear what was up to date. And when that clarity isn’t there, small gaps start to appear.

The quiet pressure of not being sure

Over time, it became harder to feel fully on top of things.

There were constant checks over whether payments had come through, who had seen the latest update, and keeping on top of versions of lists. Billing still had to be worked through manually each half term, repeating the same process just to keep things moving.

As the number of classes and students increased, so did the amount to keep track of. It wasn’t the volume of work that caused the strain. It was the lack of a clear view. Without everything in one place, decisions relied on memory, workarounds, and a level of guesswork.
That’s where the pressure builds.

Bringing everything into one place

It means issues are picked up early, while they’re still easy to deal with.

When things are on track, there’s confidence in that too. Week to week, things follow the same pattern, which has taken pressure off.

What’s changed isn’t the heart of Dance in Motion. It’s how steady things feel behind the scenes.

Sessions run as they always have. But the way the academy is managed around them is more consistent. There are fewer gaps, less reliance on workarounds, and things are less likely to slip through unnoticed.
