When keeping track becomes the hardest part

How Imagine That Performing Arts brought more clarity to the day-to-day, making it easier to stay on top of a growing school.

Built on energy, not spreadsheets

Imagine That Performing Arts has been running since 2014, offering acting, singing and musical theatre classes for young people in Airdrie.

It’s a school built on energy, creativity and giving young people a place to grow in confidence.

But behind the scenes, running everything took more effort than it should.

When payments and communication take over

Fees were coming in through a mix of cash and bank transfers. Keeping track of who had paid, who hadn’t and what still needed chasing took time.

With over 200 students, that quickly added up.

Communication had its own challenges. Emails were being sent, but there was no clear way to know who had seen them. That often meant messages being repeated or followed up, just to make sure everyone was on the same page.

It wasn’t one big issue. It was lots of small things that needed constant attention.

Keeping up to date with the multiple modes of payment for the number of children took up a lot of time

Getting to a point where things feel clearer

The shift came from putting a more consistent way of running things in place through Thrive4.

Instead of checking multiple places or piecing things together, there was a clearer view of what was happening across the school.

Payments were easier to stay on top of. Communication felt more reliable. Information sat in one place rather than being spread across different systems. That meant fewer unknowns day to day, and more confidence in what had been handled.

Fewer gaps, fewer follow-ups

One of the biggest differences was communication. Being able to see who had received and read messages removed a lot of uncertainty.

Parents had clearer updates. The team spent less time repeating information or chasing responses.

“We have really loved the email service… parents can no longer say they haven’t received an email.”

Knowing where you stand with payments

Payments also became more straightforward to manage.

Instead of working through different payment methods and matching everything manually, there was a clearer picture of what had been paid and what hadn’t. That visibility removed a lot of the back-and-forth and reduced the risk of things being missed.

For a growing school, that kind of consistency makes a big difference.

More headspace to focus on the school itself

With fewer things to track and chase, the day-to-day became easier to stay on top of.

Time wasn’t being pulled into checking spreadsheets or following up on payments.

That created more space to focus on classes, students and the overall experience.

A way of running things that feels more settled

The biggest change isn’t just in what’s been simplified.

It’s in how the school feels to run.

With Thrive4 in place, there’s more clarity, fewer loose ends and less reliance on keeping everything in your head.

And when that’s in place, running the school feels more settled, even as it continues to grow.
