Getting more control over finances, focus and family time

Growing a thriving football community

Little Messys Sheffield is a children’s football academy built around energy, confidence and fun. Sessions are designed to help children of all ages develop skills through play, while building friendships and enjoying being active.

Alongside its weekly sessions, the academy also runs holiday camps, toddler groups and school clubs, supporting hundreds of children each week. As the academy has grown, so has the complexity of running it day to day.

When sessions and records stop matching

In the early stages, managing sessions felt relatively straightforward. But as the number of sessions increased, it became harder to keep everything aligned. Once the academy reached around 30 to 40 sessions each week, the gaps started to show.

Registers didn’t always reflect what was happening on the pitch. It wasn’t always clear who had stopped attending, who was still active, or where follow-up was needed. These weren’t major issues in isolation, but they added up and made it harder to feel fully in control.

When it’s no longer clear who’s paid and who hasn’t

As the academy continued to grow, keeping track of attendance and payments became more difficult to manage.

One of the main challenges was understanding exactly what had been paid and what hadn’t. Reconciling payments against registers could take several days each month, and anything that didn’t match needed further checking. In some cases, missed payments weren’t picked up until months later.

This wasn’t just about the time involved. It was about not having a clear, reliable view of what was happening across the academy at any given moment.

Then seeing everything clearly

With Thrive4 in place, things began to come together.

Registers became something the team could rely on day to day, with attendance updated after each session. This made it easier to see what was actually happening across sessions, rather than working things out afterwards.

Payments and attendance now line up, so it’s clear what’s been paid and what still needs attention. Instead of spending time reconciling and checking, the team can work from what’s already visible.

Messages reach the right groups without needing to repeat or follow things up.

More control, less chasing

Having that clearer view changed how the academy was managed.

There was less need to chase or follow up, and fewer situations where something needed to be worked out retrospectively.

As Little Messys Director, Liam, put it, “I’m not chasing payments anymore – it just shows me who hasn’t paid.”

That shift made it easier to act early, rather than dealing with issues once they had built up. It also meant the team could rely more on what they were seeing, rather than needing to double-check.

Week to week, things follow the same pattern, which has taken pressure off across the team.

A more consistent way of running the academy

What’s changed isn’t the sessions themselves. They continue to run as they always have, with the same focus on enjoyment and development.

Behind the scenes, though, things feel more consistent. Registers are kept up to date after each session, and there is a clearer way of keeping track of payments and attendance across the academy.

There are fewer gaps, and fewer situations where things need to be pieced together later. With Thrive4 supporting things in the background, there is a more stable structure to work from week to week.

More space to focus on coaching and family

Now, the academy feels easier to stay on top of. Not because there is less going on, but because there is more clarity around what is happening.

There is confidence in the day-to-day running of the academy, with a clearer understanding of what has been handled and what still needs attention.

That has made it easier to focus on delivering sessions, developing the academy, and spending time on the parts of the business that matter most.

As Liam put it, “I’ve got more time to spend with family. I can take my little boy to nursery and start the day knowing a lot is already done.”

As Little Messys continues to grow, things don’t feel harder to manage. They feel more under control.
